Administrative Associate

ORGANIZATIONAL OVERVIEW

MAEC was founded in 1992 as an education non-profit dedicated to increasing access to equitable educational opportunities so all students can learn and achieve at high levels. Its mission is to promote excellence and equity in education to achieve social justice. MAEC provides technical assistance and professional training for state department personnel, public school administrators, teachers, and families on a wide range of issues related to equity, including those centered on race, ethnicity, national origin, language, religion, and gender.

As part of its growing portfolio of projects, MAEC operates the Center for Education Equity, which is a technical assistance center funded by the Department of Education, serving the Mid-Atlantic and Northeast regions, and the Collaborative Action for Family Engagement Center (CAFE), the Maryland and Pennsylvania statewide family engagement center.


POSITION DESCRIPTION: 

We are looking for a detail-oriented and dynamic individual who is comfortable prioritizing multiple tasks in a fast-paced environment. The incumbent will work closely with MAEC’s President, Vice President, and Director of Finance and other staff.  Duties are broad in nature and require the incumbent to work collaboratively with other staff members and exercise independent judgment related to assignments.  A successful candidate will have experience working on a team and with outside clients or partners and must be high-energy, outgoing, and friendly.  

RESPONSIBILITIES: 

  • Manage scheduling and expense reports for the President and Vice President, including travel. 
  • Generate communications and process documents (e.g., PowerPoint) on behalf of the President and Vice President.  
  • Coordinate Board of Directors meetings, project-based meetings, and President or Vice President-lead project-based meetings; prepare meeting materials and draft minutes/action items. 
  • Assist in the preparation and submission of grant proposals, reports, and other documents.  
  • Use a variety of software programs and office equipment to perform assignments as well as provide technical support to staff. 
  • Perform other administrative duties including calendaring, meetings, conference calls, telephone support, and events as needed. 
  • Ensure smooth day-to-day operations by serving as liaison with building management, keeping office stocked and organized with supplies, managing mail and package delivery, answering phone calls, welcoming guests/visitors, and other general office management. 
  • Plan and execute office culture activities, including birthday celebrations, anniversaries, and other milestones. 
  • Leading orientation for new employees. 
  • Maintain files and records for area of responsibility, such as employee files, as needed. 
  • Manage Intern Process. 
  • Perform other duties as assigned. 

QUALIFICATIONS: 

  • Demonstrated commitment to MAEC’s guiding principles – Excellence, Equity, Integrity, Innovation, and Synergy; 
  • High level of professionalism, flexibility, diplomacy, and strong interpersonal skills; 
  • Excellent oral and written communication skills; 
  • Strong computer and technology skills; proficiency in Microsoft Office (Word, Excel, PowerPoint, Publisher), Google docs, and interest in and ability to learn new platforms;  
  • Outstanding organizational abilities, good judgment, and strong attention to detail. 

REQUIREMENTS: 

  • 2-4 years of experience with non-profit administration, or comparable office management experience; 
  • Ability to work independently and handle multiple tasks; 
  • Resident of DMV metro area and able to come in to office minimum of two days per week during quarantine and full-time once quarantine lifted; 
  • Completion of post-interview assessments (PowerPoint, note taking); 
  • Experience and commitment to educational issues a plus. 

 

COMPENSATION AND BENEFITS: 

Compensation will be commensurate with experience. MAEC offers a competitive benefits package including health, vision, dental insurance, and a 403(b) retirement program.
